DECLARATION:
By submitting this application for membership, I acknowledge that CMWA collects and processes my personal data in accordance with its Privacy Policy. I understand and agree to the following: My data will be used for the following purposes: Processing my membership application, Providing membership benefits and services, Communicating with me about membership-related matters, Informing me about the upcoming events. My data will be shared with the following third parties: payment processors, event organizers, I have the right to access, rectify, erase, or restrict the processing of my data. I can also object to the processing of my data for marketing purposes. I understand that I can withdraw my consent at any time
MEMBERSHIP AND SUBSCRIPTION
a) Anyone who is of Malayalee origin aged 18 years or above, and residing in Clacton on sea who is willing to abide by the rules and regulations of the Association, shall become a member after filling-in membership registration form and paying yearly membership fees
b) On reception of the Membership application Data Protection Officer (DPO) shall present it to the Executive Committee for approval
c) Associate membership shall be open to non-Clacton Malayalee and short-term students who reside in Clacton (Student Visa holders) subscribing to the objectives of the Association and shall be nominated by a member of the Association
d) Associate membership as per Clause 5(c) has no privileges to carry office bearing responsibility of the association
e) The annual subscription for the members/ associate members of the Association is charged for a period from 1st January to 31st December of a calendar year. The subscription shall be non- refundable. On paying a membership fee, members are entitled to clear their arrears if otherwise it is agreed by the prevailing committee
f) Above Annual subscription fee as in clause 5 (f) can be amended if executive committee decides in its favour after deliberating the prevailing financial situation of the association, the maximum allowable percentage of subscription fee increase is limited to 25% of prevailing subscription fee
g) Failure to pay membership fee for two consecutive years will result in automatic cessation of membership
h) Should any member act in a detrimental way to the interests of the Association, the Committee shall initiate disciplinary actions against such member. The Secretary shall issue a warning letter to such member and seek a show-cause letter, to avoid any further disciplinary actions. The show -cause letter shall be received within 7 days of request
i) Membership to the association doesn't imply automatic right to use access to CMWA social media platforms, once admitted these platforms should not be used to propagate any sort of content without the permission of the executive committee
j) Posting contents from CMWA activities on social media without due permission will result in disciplinary action against an individual
k) Association has the primary responsibility of safeguarding children and vulnerable adults in an event organised by CMWA and in CMWA social media platforms
I) It is the responsibility of each individual to act and behave in a responsible manner at the time of association activities (major celebrations, children's day etc.)
m) Any individual under the influence of drugs or alcohol acts in such a manner to disrupt the venue he/she shall be removed from the venue; this may include employment of law enforcing agencies
n) Any member in breach as per clause (m) will be subjected to disciplinary procedure as per decision taken on a CMWA committee meeting
o) Upon receipt of the show-cause letter, the Secretary shall present it to the Executive Committee for decision. The subject member shall not be allowed in such meetings
p) If the show-cause letter is not received, or if the Executive Committee finds that the reasons are not justifiable, or the actions of the person are undermining the functions of the Association, then the Executive Committee has the power to dismiss any such member from the Association
q) The committee's decision must be informed to the individual in writing. The dismissed member can appeal against the Executive committee's decision in writing to the Chair within 7 days of dismissal. The Chair can review the appeal and decide on it with assistance from the Office bearers
r) Any member dismissed for their misconduct shall be barred from the Association's membership for three consecutive years from the date of dismissal
s) Any member wishing to discontinue the membership shall advise the Secretary in writing
t) Any one serving in the Executive Committee or sub-committee must be a member of the Association
u) A register shall be kept by DPO showing the date of commencement of membership, and the list of members with their name address and contact details
v) CMWA encourages each individual member to contact through approved CMWA social media tool or by official email to air their feedback, comments, compliments, criticism and complaints hence please refrain from contacting office bearers unless and until it's absolutely necessary to express above views
w) Failure to comply with (clause 5, v) will result in disciplinary actions in accordance with CMWA by-laws
x) Any individual member who in any form or shape actively promotes or creates activities of an entity in order to contradict the activities or in conflict with the interest of CMWA within the geographical area of Clacton on sea by "definition" wil be subjected to disciplinary action. This wil be considered as violation of CMWA bylaw which may lead up to dismissal from CMWA
y) Suppose a member faces disciplinary action and is subsequently suspended from the association for 3 years or less. In that case, readmission to the CMWA has to be made based on a written application to the chair/secretary. The committee will discuss this issue to decide whether to support the request or reject it. Those who faced disciplinary action form CMWA, on rejoining there will be a cooling off period of 2 years to become a part of the executive committee member
